About

We are looking for a part-time Operations Administrator to own and support various day-to-day activities for FiveStone. The OA responsibilities will include overseeing management of human resource tools and duties such as insurance, payroll, and updating policies and employee benefits. The OA will also keep track of general business and office needs such as client visits, office paperwork, contracts, and record keeping. 

To be successful as an OA you will be able to manage daily operations in a professional and efficient manner. A strong candidate should be highly organized, nimble, and able to work on multiple tasks throughout the week. 

This role is a mix of on-site work at our office in New York City (midtown) and virtual.

What we’d like to see

  • Managing and updating of company HR needs and database

  • Supporting company financial and employee records

  • Keeping track of office supplies and inventory

  • Performing administrative duties to keep team members operating efficiently

  • Planning and scheduling of appointments

  • Assisting with travel and meeting preparation, including planning and coordination of big client meetings and office events

  • Answering general email inbox requests as needed

  • Developing systems and efficiencies in HR and Admin areas

  • Participating in system-related projects and implementations, namely with finance and budget

  • Participate in quarterly meetings discussing various administrative needs, financial updates, and HR updates

  • Managing operation and maintenance of office equipment in our NYC and Boulder offices

requirements

  • Degree in business administration, office management, or related experience

  • Proven track-record of working in a small-office environment creating processes

  • Strong organizational and administrative skills

  • Excellent communication skills, both written and verbal  

  • Proficiency with Microsoft Office and Google Suite (namely Gsheets)

  • Strong attention to detail and a problem solver

  • Personable, welcoming, and natural host for client meetings 

  • Requires a knowledge of diverse business functions and principles (finance, customer service, etc.)

We are a distributed team across New York, NY and Boulder, CO. This position will be based in New York City.
